U3A Box Hill Convener Instructions

1. Start with the Right Profile

To avoid advertisements, you must use the dedicated Premium profile on this laptop.

  • Double-click on the Google Chrome icon labeled “YOUTUBE PREMIUM”.

IMPORTANT

  • Do not use “Guest Mode” or “Incognito,” or ads will play.
  • Do not delete Browsing Data, or you will have to log in again.

2. How to Open Your Videos

The simplest way to access your chosen videos is through the shared media email:

  • Send an email with your links and notes to u3a.boxhill.media@gmail.com
  • Open Gmail within the YouTube browser profile.
  • Find the email you sent to u3a.boxhill.media@gmail.com.
  • Right-click your video link and choose “Open link in new tab.” This keeps your list of links open in the background.

Convenience Tip:

If the Text below the video says “Downloaded“, it means it is already saved on the laptop for smoother playback.

If it says “Download” you can click on this to save the video on the laptop for future playback — even off-line.

3. Playing Without Internet Issues

If the internet is slow or unreliable, you can play videos that have been saved in advance:

  1. On the YouTube left-hand sidebar, click on “Downloads.”
  2. Select your video from the list. These will play instantly without “buffering” or pausing, even if the building’s Wi-Fi is down.

Common Fixes

  1. “Sign in” prompt appears: Click the “Sign In” button. The laptop is set to fill in the password for you automatically.
  2. The video is blurry: Click the Gear icon on the video → Quality → Select 1080p.
  3. No sound: Check the volume slider on the YouTube video itself AND the volume keys on the laptop keyboard.

YouTube Premium Usage Terms

  1. Strictly On-Premises: This account is provided by U3A Box Hill solely for use on the official laptops located in the hall. Use on personal devices is strictly prohibited.
  2. Concurrency Limits: YouTube Premium allows only a limited number of simultaneous streams. Using this account on a personal device may “kick” a convener off the system during a live class, causing significant disruption to conveners and participants.
  3. Account Security: Sharing or extracting the password compromises the security of our organization’s digital assets. If unauthorized access is detected, the password will be changed, and the convenience of “Auto-Login” may be removed for everyone.
  4. Audit Logs: Use of the account is monitored for location and device consistency to ensure we remain compliant with our non-profit status and Google’s terms.
